Cycle Count Journal Guide (MDX Version)
Open the Cycle Count Journal
- From the main menu, navigate to Inventory (or Warehouse) → Stocktake / Physical Inventory.
- Click New or Create to open a new stocktake journal.
- Give it a descriptive name (e.g.,
Monthly Stocktake Nov 2025). - Select the Location/Warehouse if required.
- Click Save or Confirm to open the journal.
Set Up Auto-Scan Mode (Optional)
- Locate the toggle labelled Auto-Scan or Auto-Add Quantity.
- Turn ON → Each scan automatically adds 1 (perfect for single/loose items).
- Leave OFF → You will be prompted to enter the actual quantity after each scan (best for boxes or bulk).
Start Scanning or Searching for Products
- Barcode scan: Scan the item → quantity auto-adds 1 (if Auto-Scan ON) or prompts for quantity (if OFF).
- Type Item ID/SKU: Enter the code → press Enter → behaves the same as scanning.
- Search by name: Click the search icon → type part of the product name → select the item → press Enter.
View All Scanned Items
- All counted items appear in the table with the following columns:
- Item ID
- Description
- Scanned Qty
- System Qty
- Difference
- Reason
Edit or Delete Lines
- Edit: Click a row → modify the quantity directly or use the pencil icon.
- Delete: Select the row → click the trash/bin icon or press Delete → confirm deletion.
Add a Reason (for Variances)
- Click the row → open the Reason or Comment field.
- Select or type the appropriate reason (e.g., Damaged, Theft, Expired, etc.).
Save Your Progress (Important!)
- At any time—especially during long stocktakes—click the Save button (usually top-right).
- Saving protects all scanned data; you can safely close the journal and resume later without losing progress.
Finish the Stocktake
When counting is 100% complete:
- Double-check the entire list and all entered reasons.
- Click Save one final time.
- (Optional next step, depending on your system) Click Post, Complete, or Finalize to lock the stocktake.
Quick Tips
- Save frequently — every 10–15 minutes or after finishing each aisle/section.
- Auto-Scan ON = fastest for loose/single items.
- Auto-Scan OFF = recommended for boxes, pallets, or bulk quantities.
- Always save before closing the journal, logging out, or switching users.
